To Transfer Specimens to RTL for Storage
To transfer semen, embryo, or oocyte specimens to RTL for storage, patients are required to complete paperwork to open an account at RTL and to authorize the transfer. In addition, patients must provide serology test results for HIV 1&2 (AIDS). The fees for the transfer and storage must be prepaid by Visa, MasterCard, Discover, American Express, check or money order.

Once the above requirements have been completed, RTL staff will contact the patient’s clinic to arrange for the transfer. RTL recommends the use of two transport shippers for the transfer if there is more than one straw or vial of embryos, semen or oocytes being transferred. RTL documents the successful transfer through the use of a temperature exposure indicator, which monitors the transport shipper's environment throughout the shipping process. To transfer semen, embryo or oocyte specimens from RTL to patient’s clinic, patients are required to complete paperwork to authorize the transfer. In addition, patients must provide serology test results for HBsAg, Anti-HCV and Anti-HTLV I&II, in addition of Anti-HIV 1&2 completed previously. The fee for the transfer must be prepaid by Visa, MasterCard, Discover, American Express, check or money order.

RTL recommends the use of two transport shippers for the transfer if there is more than one straw or vial of embryos, semen or oocytes being transferred. Multi-Clinic Transfer

To transfer semen, embryo, or oocyte specimens from one facility to another facility, patients are required to complete paperwork to open an account at RTL and to authorize the transfers. Multi-Clinic transfers are done in two steps, with the specimens coming to RTL from the first facility and then transferred to the second facility in a separate shipment. Patients must provide serology test results for HIV 1&2 (AIDS), HBsAg, Anti-HCV and HTLV I&II.  The fees for the Multi-Clinic transfer of the specimens also includes up to one quarter (3 months) of storage services which may be necessary in the event of delays on either end of the transfer.  Once the above requirements have been completed, RTL staff will contact patient’s clinic to arrange for the transfer.

To Transfer Specimens from One Facility to Another Facility Within the United States 
RTL recommends the use of two transport shippers for both steps of the transfer if there is more than one straw or vial of embryos, semen or oocytes being transferred. The fees, $1100.00 if using two tanks and $650.00 when using one tank, must be prepaid by Visa, MasterCard, Discover, American Express, check or money order.

To Transfer Specimens from One Facility to Another Facility (One or both of the facilities is outside of the United States) 
RTL recommends the use of two transport shippers for both steps of the transfer if there is more than one straw or vial of embryos, semen or oocytes being transferred. The fees are quoted on a shipment by shipment basis due to the variation in cost associated with international shipments.  A refundable $1000.00 tank deposit is required for all international shipments.  All fees and deposits must be prepaid by Visa, MasterCard, Discover, American Express, or money order.

ReproTech completes several extra steps to ensure that your specimens are safely transported:

  1. Tanks are shipped in "mushroom style" shipping containers to limit the time they may spend on their sides, and to eliminate the time they would spend inverted during transit.
  2. Routine shipments are initiated on Mondays by overnight delivery with return air bills included by overnight delivery to ensure shipments have completed their round trips by Thursday. 
  3. We utilize an FDA Approved Cryoguard thermal indicator in every shipment, which indicates whether temperatures of -120 or below are maintained during shipments.
  4. Tanks are weighed out and back in for every shipment so that we can continually monitor their efficacy.
  5. Tanks are validated annually, and removed from the fleet should they not maintain hold time requirements.
  6. Tanks are maintained with a liquid fill while onsite at ReproTech to insure that they are fully charged and ready for shipment at any time
  7. Tanks are used for only 5 years and then disposed of, regardless of hold time.
